Refund and cancellation policy

We understand that plans can change and you might need to postpone or cancel your booking. Where possible we will always try to accommodate any booking changes.

This policy outlines our refund and voucher process to provide clarity and flexibility for our valued participants.

1. Booking Cancellation by Participant:

More than 2 days prior to your booking: Participants cancelling their booking with more than 2 days before the event are able to reschedule to another available date, or request a refund. Refunds are processed to your original mode of payment within 14 working days.

Under 2 days prior to your booking: Participants cancelling their booking under 2 days before the event will not be eligible for a refund, but are able to reschedule to another available date, or receive a voucher for the same value. The vouchers can be used within 1 year from the date of issue, for any booking available on our website. Participants have the flexibility to use these vouchers at a later date or gift them to others.

2. Booking Cancellation by the Organiser:

If we cancel the booking for any reason (excluding Force Majeure situations as explained below), participants are able to reschedule to another available date, or request a refund. This refund will be processed to your original mode of payment within 14 working days.

3. Force Majeure:

In rare circumstances where the event has started and all reasonable measures have been taken, but due to events outside of our control, such as natural disasters, extreme weather, or other ‘Acts of God’, refunds are not available. These circumstances are very rare and bookings can be rescheduled to the next available date, or participants can request a voucher for the same value to be used within 1 year of the issue date.

4. Event Rescheduling by us:

In the unlikely event we have to reschedule the event, participants will be contacted by phone or email and given the option to attend a rescheduled date or receive a refund.

5. Third-Party Booking:

If your booking was made through a third-party, please contact the third-party directly regarding their refund policy.

By purchasing a ticket, you are agreeing to this refund policy. Please ensure you understand these terms before proceeding with your purchase.

6. Vouchers:

Vouchers are non-refundable and have no cash value. They are redeemable within 1 year of purchase, however can be extended by request. If you wish to extend your voucher, please email us below.

Activity Terms and conditions

1. I acknowledge that participation in the activity arranged by the Organiser is voluntary and carries with it a risk of personal injury or death and/or loss or damage of property. I agree to participate despite of and in acceptance of that risk. I acknowledge that this personal injury can arise for reasons other than as a result of defective equipment or negligence of the Organiser. I acknowledge that the Organiser will not be liable for any damage or loss to property however incurred participating in activities arranged by the Organiser.

2. I CERTIFY THAT I AND/OR MY GROUP ARE PHYSICALLY FIT, HAVE SUFFICIENTLY PREPARED OR TRAINED FOR PARTICIPATION IN THIS ACTIVITY, AND HAVE NOT BEEN ADVISED TO NOT PARTICIPATE BY A QUALIFIED MEDICAL PROFESSIONAL. I certify that there are no health-related reasons or problems which may affect or preclude my participation in this activity. I certify that any pre-existing medical conditions experienced by my group or I which may affect our participation have been notified to the Organiser, who may at any time refuse or withdraw participation at their sole discretion.

3. I confirm that I will not be under the influence of drugs or alcohol on arrival and during the activity/activities booked.

4. I hereby consent to receive medical treatment which may be deemed advisable in the event of injury, accident, and/or illness during this activity.

5. I agree to follow and comply with all instructions, requests and directions relating to my health and safety as issued by those supervising the activity, and accept that my failure to do so may result in my personal injury.

6. I accept that I am participating in an activity involving live animals, and to the extent permitted by law, release the Organiser from any liability arising from the behaviour of those animals.

7. In permitting me to participate in this activity, I hereby take action for myself, my executors, administrators, heirs, next of kin, successors, and assignees as follows:

(a) I WAIVE, RELEASE, AND DISCHARGE from any and all liability, including but not limited to, liability arising from the negligence or fault of the entities or persons released, for my death, disability, personal injury, property damage, property theft, or actions of any kind which may hereafter occur to me including my traveling to and from this activity, THE FOLLOWING ENTITIES OR PERSONS: the Organiser and/or their directors, officers, employees, volunteers, representatives, and agents, and the activity holders, sponsors, and volunteers;

(b) I INDEMNIFY, HOLD HARMLESS, AND PROMISE NOT TO SUE the entities or persons mentioned in this paragraph from any and all liabilities or claims made as a result of participation in this activity, whether caused by the negligence of release or otherwise.

8. I acknowledge that the Organiser and their directors, officers, volunteers, representatives, and agents are NOT responsible for the errors, omissions, acts, or failures to act of any party or entity conducting a specific activity on their behalf.

9. I acknowledge that this activity may involve a test of a person’s physical and mental limits and carries with it the potential for death, serious injury, and property loss. The risks include, but are not limited to, those caused by terrain, facilities, temperature, weather, condition of participants, equipment, vehicular traffic, lack of hydration, and actions of other people including, but not limited to, participants, volunteers, monitors, and/or producers of the activity. These risks are not only inherent to participants, but are also present for volunteers.

10. I understand while participating in this activity, I may be photographed. I understand I will be asked prior if this is acceptable and if I agree this may allow my, or my group’s photo, video, or film likeness to be used for any legitimate purpose by the activity holders, producers, sponsors and organisers. The Participation Agreement shall be construed broadly to provide a release and waiver to the maximum extent permissible under applicable law.

11. I acknowledge that this Participation Agreement will be used by the event holders, sponsors, and organisers of the activity in which I may participate, and that it will govern my actions and responsibilities at said activity.

12. I CERTIFY THAT I HAVE READ THIS DOCUMENT AND I FULLY UNDERSTAND ITS CONTENT. I AM AWARE THAT THIS IS A RELEASE OF LIABILITY AND A CONTRACT AND I SIGN IT OF MY OWN FREE WILL.

Declaration

13. I have read in full, understand and agree to abide by all the terms and conditions of use, issued by the Organiser listed above and/or (if applicable) accept them on behalf of the group I am responsible for. If applicable, I confirm that I have authority to accept these terms and conditions on behalf of the group and declare that if I am not the parent or guardian of any members of my group who is under 18 years, that I have the authority of their parent(s) or guardian(s) to sign and accept these terms and conditions.

14. Please note by signing your name you are confirming your / group’s place on a John Muir Alpaca activity, and that you have read, understood and accept the Participation Agreement on your / the group’s behalf.
